Wallet ledger & reconciliation
Every rupee in and out, on one reconciled line.
Your managemate wallet keeps a complete, time-ordered record of every credit and debit. Each line shows what moved, why it moved, and what the balance was right after, so the number on screen always matches what actually happened.
When you sell across Meesho, Flipkart and Amazon, the money side gets noisy fast: top-ups, the small per-order fee, and the odd refund all land in your managemate wallet. The ledger is the single record of all of it. Every credit and debit is one line, in order, with the amount, the reason, and the wallet balance immediately after that movement. There is no separate report to trust and no spreadsheet to maintain by hand.
The ledger is append-only. Once a line is written, it is never edited or deleted. If something needs to be corrected, managemate adds a new reversing line rather than quietly changing history, so the trail stays honest and you can always see what happened and when. Amounts are held in exact paise, so the totals add up to the rupee with no rounding drift.
Because each line carries a reference back to its source, reconciliation is concrete rather than guesswork. A top-up line points to the Razorpay payment that funded it. A billing line points to the successful order it was charged for. You can read down the ledger and tie every movement to a real event in your account.
Built into wallet ledger & reconciliation
One line per movement
Every credit and debit is a single ledger entry, newest first, showing the amount, the kind of movement, and the wallet balance straight after it. No movement is summarised away.
Running balance on every row
Each line records the balance immediately after that entry, so you can scan down the ledger and watch the wallet rise and fall without re-adding anything yourself.
Append-only, never rewritten
Lines are immutable once written. Corrections appear as new reversal entries instead of edits, so the history you reconcile against can be relied on.
Each line ties back to its source
Top-ups reference the Razorpay payment that funded them and per-order charges reference the successful order, so every figure traces to a real event.
Exact paise, no rounding drift
Amounts and balances are kept in exact paise, so the ledger totals reconcile to the rupee against your top-ups and your order charges.
Read access by role
Viewing the wallet and ledger is a permission you grant. The right people on your team see the money trail; others stay focused on orders and stock.
From setup to everyday use
- 01
Money moves, a line is written
Whenever you top up over UPI, get charged for a successful order, or receive a refund, managemate writes one ledger line and updates the balance in the same step. The two never fall out of sync.
- 02
Read down the trail
Open the ledger to see every movement in order, with amount, reason and the balance after each one. Filter to a date range or scan the most recent entries to see where the balance went.
- 03
Match each line to its event
Use the reference on each line to tie a credit to its Razorpay top-up or a debit to the order it billed, so you can confirm the charge was correct.
- 04
Corrections stay visible
If an entry needs to be undone, a reversing line is added rather than the original being edited, so the ledger remains a faithful account of what happened.
In the day-to-day
For an owner doing the monthly money check
At the end of the month you want to confirm your spend was real. Read down the ledger: top-ups you made over UPI on one side, the per-order fees on the other, each fee tied to an order that actually shipped. The closing balance is right there on the last line.
For a multi-marketplace shop questioning a charge
You think a fee looks off. Find the debit line, follow its reference to the successful order it was charged for, and confirm whether it should have been billed, without digging through three separate seller panels.
For a team with split duties
Your packers work orders all day but should not see wallet movements. You grant ledger access only to the people who handle billing, so the money trail stays with the right roles while everyone else stays in their lane.
Wallet ledger & reconciliation, answered
What exactly does each ledger line show?
It shows the direction (credit or debit), the amount, the kind of movement such as a top-up, a per-order charge, a refund or an adjustment, and the wallet balance immediately after that line. Most lines also carry a reference to the event that caused them.
Can a ledger entry be edited or deleted?
No. The ledger is append-only, so entries are never changed or removed. If a correction is needed, a new reversing line is added, which keeps the full history intact and reconcilable.
How do I match a charge to a specific order?
Each per-order debit references the successful order it was billed for, and each top-up references its Razorpay payment. You follow the reference on the line to confirm the figure against the real event.
Does the balance shown ever drift from the ledger?
No. The balance is updated in the same step as each ledger line and amounts are held in exact paise, so the running balance always agrees with the sum of the entries down to the rupee.
Who on my team can see the ledger?
Viewing the wallet and ledger is a permission you control through roles and per-person overrides. You can keep it with the people who handle billing and leave it off for roles focused on orders and stock.
What happens to a top-up that can't be matched to my workspace?
Payments are recorded even if they can't immediately be tied to a workspace, and flagged rather than dropped, so nothing is lost and it can be sorted out instead of disappearing.
