Managing your team

This page covers adding people to your workspace and controlling what each one can do.

What you need before you start

  • An admin account. Only an admin, or a user whose role includes the team management permissions, can add or change users.
  • The email address of each person you want to invite.

How access works

Every user belongs to your workspace and gets their permissions from a role. A role is just a named set of permissions. When someone signs in, managemate looks at their role to decide which menus and actions they see.

Three roles are created for you with every workspace, so you can start assigning people right away without designing anything.

The built-in roles

Admin is the broadest role. A Pick and Packer, by contrast, cannot change products or adjust stock levels, which keeps fulfilment focused and prevents accidental catalog edits during a busy shift.

Inviting a user

  1. Open the team or users area of your workspace.
  2. Select the option to add a user.
  3. Enter the person's email, and their name if you have it.
  4. Choose a role from the list, for example Pick and Packer.
  5. Save. The new user is added to your workspace and can be sent an invite to set their own password, the same way your admin account was set up.

Use a real working email for each person. That address is both their login and where their invite goes.

Granting extra permissions to one person

Sometimes a role is almost right but one person needs a little more. Rather than create a whole new role, you can add permission overrides to that individual.

For example, a trusted packer might also need to adjust stock during a count. You can grant that single permission on top of their Pick and Packer role without changing what every other packer can do.

  1. Open the user you want to adjust.
  2. Find their permission overrides.
  3. Add the specific permission they need, such as the one for adjusting stock.
  4. Save. The change applies the next time they load the workspace.

Keep overrides rare and deliberate. If you find yourself granting the same extra permission to many people, that is a sign the role itself should change, or that you need a new role.

What success looks like

Each teammate appears in your user list with a role beside their name, and when they sign in they see only the parts of the workspace their role allows.

Common problems

  • A teammate cannot see a section they expected. Check their role against the table above. The section they need may belong to a different role, or they may need a single override.
  • You cannot change a user. Confirm you are signed in as an admin or as a user with team management permission. Roles without that permission can view people but not edit them.
