60 days free for up to 5 users, no card required. Then ₹299 per user per month.

managemate helps cosmetics, personal care, ayurvedic, herbal and nutraceutical makers produce from written formulas, give every batch a lot number and expiry date, and see where each batch is and where it went, in one web app. Expired batches cannot be sold, and batches expiring within 30 days show on the dashboard.

Runs record the actual quantity of each ingredient used, so the record of every batch and its cost per unit match what happened on the floor. Lot QR labels let the counter and the warehouse scan the exact batch, and prices can include GST and print as MRP on product labels.

What gets in the way today

Batch details on paper

Lot numbers, quantities used and expiry dates sit in a register, so finding what went into a batch takes an afternoon.

Older stock left behind

Newer batches go out while older ones stay on the shelf, and expired jars are found during an audit.

Short of one ingredient

A run is planned, but one essential oil or extract is short, and nobody checked before the team started.

A guess at the cost per jar

Herb, oil and packaging prices move, and the cost per unit comes from an old spreadsheet.

How a day runs

Your work, step by step

  1. 01

    Write the formula

Record the ingredients for a set batch size, in the units you use, with the full method written out for the team.

  2. 02

    Plan and buy

Plan a run for the quantity needed. Shortages show against stock and incoming orders, and become draft purchase orders.

  3. 03

    Make and record

Print the production sheet for the floor. On completion, record the ingredients actually used, lot by lot, the quantity made, the batch number and its expiry.

  4. 04

    Label the batch

Print lot QR labels for the jars or cartons, so every later scan takes stock from that batch.

  5. 05

    Sell and follow up

Sell at the counter or to salons, retailers and distributors with GST invoices, earliest expiry first, and follow up on payments.

Questions

Cosmetics and herbal, answered

Can I record what went into each batch?

Yes. Each production run keeps the planned quantities and the materials actually used, lot by lot, with the quantity made, the batch number and its expiry date. The run shows yield and cost per unit. Open a raw material's lot to see its movements, including the production runs that used it.

Can I track expiry dates for cosmetics and herbal products?

Yes. Record an expiry date on each batch you make and on each lot you buy. Sales take the earliest expiry first, expired lots cannot be sold or used in production, and lots expiring within 30 days appear on the dashboard and in the Expiring tab. Expired stock can be written off with a numbered note.

Can I print labels for each batch?

Yes. Print lot QR labels from the production run, while making or after completing it, on 2×1 inch rolls for label printers such as the TSC TE244. Each label carries the product name, price, SKU, lot number and location, and the QR lets the counter sell from that batch. The expiry date is not printed on these labels, so keep it on your pack label.

Can I price products inclusive of GST, as MRP?

Yes. Turn on Selling prices include GST in Settings. The counter shows GST-inclusive prices, invoices work out the tax within the price, and product labels print the price as MRP. Each pack size, such as 50 ml and 100 ml, can be its own variant with its own barcode and price.

Can I see what a batch cost to make?

Yes. Cost per unit comes from the materials actually used, at the average cost of the lots they came from, including freight on purchase. Each run shows cost per unit, yield and margin, with a history across runs, so you can see how ingredient prices affect each jar or bottle. Labour and overheads are not added.

Can I sell to salons, retailers and distributors on credit?

Yes. Give each customer payment terms, send a quotation from a draft order, deliver in parts with a delivery challan and issue a GST invoice. Due dates follow the terms, overdue invoices rise to the top, and customer statements with ageing can be printed or sent on WhatsApp.
