For food and FMCG makers
From raw spices to dated batches and distributor invoices
Write your formulas, make batches with expiry dates, sell the oldest stock first and invoice shops and distributors with GST.
60 days free for up to 5 users, no card required. Then ₹299 per user per month.
managemate helps small food, spice and snack makers plan production from formulas, record every batch with its expiry date, and sell to shops and distributors with GST invoices, in one web app. Raw materials are bought by the sack or tin and used by the kilogram, while finished goods sell by the pack.
Each production run records what was actually used and made, so cost per kilogram and yield are real figures rather than estimates. Sales and deliveries take the earliest expiry first, and the dashboard warns about batches expiring within 30 days.
What gets in the way today
Recipes kept in one person's head
The formula lives with one person or in a notebook, so batches vary and nobody can say what a batch should need.
Expiry found too late
Old batches turn up at the back of the godown after they have expired, and the loss is never properly recorded.
Raw material runs out mid-week
Production stops because one ingredient ran short, since nobody compared the plan with stock and what was on order.
Prices set on last year's cost
Ingredient prices change every month, but selling prices are still based on an old cost per kilogram.
Your work, step by step
- 01
Plan the week's runs
Choose a formula and the quantity to make. managemate scales the ingredients, checks stock at the factory and shows what is short.
- 02
Buy what is missing
Turn shortages into draft purchase orders. Receive the sacks with their lot numbers and expiry dates, with freight added to their cost.
- 03
Make the batch
Print the production sheet for the floor. On completion, record the ingredients used, the quantity made, the batch number and its expiry.
- 04
Label and store
Print lot QR labels for the cartons. The new batch is in stock with its cost per unit.
- 05
Sell to shops and distributors
Take orders, deliver the oldest batch first, issue GST invoices and follow up on each customer's payment terms.

Food and FMCG, answered
Can I track batches and expiry dates for food products?
Yes. Every purchase receipt and production run can record a lot number and expiry date. Sales and deliveries take the earliest expiry first, expired lots cannot be sold or used in production, and lots expiring within 30 days appear on the dashboard. Open any lot to see where it came from and every movement since.
Can I save recipes and scale them to a batch size?
Yes. Save each recipe as a formula with its output quantity, up to 100 ingredients and written instructions. When you plan a run, managemate scales the ingredients to the quantity you want to make and checks them against stock at the production location, so shortages show before the team starts.
How do I know what each batch cost?
When you complete a run, record the ingredients actually used and the quantity made. The cost comes from the average cost of the lots used, including freight on their purchase, and shows as cost per unit with the yield and margin. Compare runs over time as ingredient prices change. Labour and overheads are not included.
Can I buy in sacks and sell in packs?
Yes. Give each product a stock unit, such as kg, and add packs for buying, using and selling, such as a 25 kg sack or a 200 g pouch. Purchases, formulas and sales convert to the stock unit, so stock stays correct however it moves. Packs you fill yourself are usually their own products, made from a formula.
Can I sell to distributors and shops on credit?
Yes. Give each customer payment terms, from due on receipt to 90 days. Sales orders can be delivered in parts with a delivery challan, invoiced with GST and paid in parts. Overdue invoices rise to the top of Today's plan, and a WhatsApp reminder or statement with your UPI ID can be sent from the invoice or the customer's page.
What happens to expired stock?
Expired lots are blocked from sale and production and listed in the Expired tab with their value at cost. Write them off one by one or all at once; each write-off gets a WO- number and a printable note with the value at cost and the GST input credit to reverse. If the supplier takes stock back, return the lot to them instead.
