For wholesale and distribution
Orders, part deliveries and payments due, in one place
Take orders from retailers, deliver from the right godown in one go or in parts, invoice with GST and know who owes what, and since when.
60 days free for up to 5 users, no card required. Then ₹299 per user per month.
managemate helps wholesalers and distributors take sales orders, deliver them from the right warehouse in full or in parts, invoice with GST and follow up on credit terms, with every customer's balance and overdue amount on one statement page.
Purchases from manufacturers are received by scanning, with freight added to the landed cost, so the margin on each order is based on real costs. Stock moves between godowns by transfer, and the reorder list suggests what to buy from each supplier.
What gets in the way today
Orders on WhatsApp and paper
Orders arrive by message and phone call and are copied into a register, so items get missed and nobody knows what is still to deliver.
Credit nobody follows up
Retailers on 30-day terms stretch to 60, because overdue amounts are worked out by hand at month end.
Part deliveries that get lost
Half an order goes out today, and the rest is forgotten or sent twice.
Margins that ignore freight
Selling prices are set on the supplier's rate alone, and freight and loading quietly eat the margin.
Your work, step by step
- 01
Take the order
Create a sales order for the retailer with their shipping address and the godown it leaves from. Prices and GST fill in from the catalogue.
- 02
Deliver in full or in parts
Scan or type what is loaded and print a delivery challan. The order keeps the rest open for the next trip.
- 03
Invoice
Issue the GST invoice from the order. IGST, or CGST and SGST, is chosen from the ship-to state, and the due date follows the customer's terms.
- 04
Follow up on payment
Overdue invoices rise to the top of Today's plan. Send a WhatsApp reminder or statement with your UPI ID, and record part payments as they come in.
- 05
Restock from suppliers
The reorder list drafts purchase orders per supplier. Receive by scanning, with freight added to the landed cost.

Wholesale and distribution, answered
Can I deliver one order in several parts?
Yes. Record each delivery as goods are loaded, by typing or scanning quantities, and stock leaves the chosen godown at that moment. The order stays open with the remaining quantities, and the delivery challan shows what has gone and what is still to come. One GST invoice is issued for the order.
Can I give retailers credit terms?
Yes. Set payment terms on each customer: due on receipt, or 7, 15, 30, 45, 60 or 90 days. Invoice due dates follow those terms, the Overdue view and Today's plan show who is late, and the dashboard groups money owed by how late it is, from not yet due to over 60 days.
How do I send a customer statement?
Open the customer's page and choose Send statement on WhatsApp, which opens WhatsApp with their open invoices, balance and your UPI ID ready to send. For a formal copy, print the statement PDF, which lists open documents with ageing from not yet due to over 90 days.
Can I manage more than one warehouse or godown?
Yes. Add each godown as a location with its own stock. Purchase orders say where goods arrive and sales orders say where they leave from, transfers move stock between godowns with its lot and cost, and the location switcher filters the dashboard, orders, stock and reports to one godown or all of them.
Can I see margins after freight?
Yes. Freight, loading and other charges added to a purchase order are spread across its lines by value and included in the landed cost of the stock. Each sales order then shows its cost and margin from the lots actually delivered, and Reports shows gross margin and best sellers with their margin for any period.
Does it generate e-way bills or e-invoices?
No. managemate does not connect to the GST portal, so e-way bills and e-invoice IRNs are generated there. The delivery challan PDF has spaces to write the transporter, vehicle number, LR number and e-way bill number, and the GST invoice shows HSN codes, place of supply and the tax split.
