What is ERP? Meaning and modules for small business

Definition

ERP: ERP (enterprise resource planning) software keeps a business's buying, selling, stock, production and money in one system, so each entry updates everything it affects.

Also called: enterprise resource planning, ERP software, ERP system, ERP for small business, ERP meaning

What ERP means

ERP stands for enterprise resource planning. The name is grand, but the idea is simple: one system, one set of records, used by everyone in the business. When a sale is recorded, the same entry reduces stock at the right godown, creates the invoice, adds to what the customer owes and shows the profit on it. Nobody types it again into a stock register or a spreadsheet.

Many small businesses run on separate tools instead: a billing app, a stock register, an Excel sheet of orders and a notebook of who owes what. Each works on its own, but they disagree, and the owner spends evenings reconciling them.

Typical ERP modules

ERP systems are built from modules that share the same data. The common ones are:

  • Sales: quotations, orders, deliveries and invoices
  • Purchasing: purchase orders, goods received and supplier bills
  • Inventory: stock by location, batches, transfers and counts
  • Manufacturing: formulas or BOMs and production runs
  • Point of sale for counter billing
  • Money: payments, receivables, payables and expenses
  • Accounting, with ledgers and financial statements, in many ERPs
  • Reports, users and permissions

Does a small business need ERP?

Not every business does. A single shop with one person billing may be fine with billing software alone. ERP starts to pay when stock sits in more than one place, several people bill or buy, you track batches and expiry, you make what you sell, or the stock in your records rarely matches the shelf. When comparing systems, look at the price per user, whether every module is included, how long setup and data import take, and whether it runs in the browser or must be installed.

Worked example

One sale through an ERP at a distributor

A Pune distributor confirms an order from a retailer for 50 cartons worth ₹1,00,000 plus GST. Staff deliver it from the Hadapsar godown, and the system takes the 50 cartons out of that godown's stock, earliest expiry first. The GST invoice is issued from the same order, with a due date 30 days out from the retailer's payment terms. When the money arrives by bank transfer, recording it clears the invoice, and the order shows its cost and margin. Four registers become one entry at each step.

In managemate

managemate is an ERP for small businesses that runs in the browser: point of sale, quotations and sales orders, purchase orders, GST tax invoices, inventory with lots and expiry across locations, barcode labels and scanning, simple manufacturing from formulas, payments, statements and expenses, team roles, and a dashboard with Today's plan. Plans are ₹299 per user per month or ₹2,870 per user per year, with every feature on every plan, and prices are inclusive of all applicable taxes. It is not accounting software: it keeps no ledgers, journals or balance sheet, does not file GST returns and does not connect to other software, so share its reports with your accountant.
