What is ERP software for small business in India?
ERP software for a small business in India is one system that records buying, stock, production, selling and money together, so a purchase received in the godown, a batch made in the workshop and a bill raised at the counter all update the same numbers. managemate is a cloud ERP for small businesses that trade or make physical goods, from a single shop to a maker with a factory store, a few godowns and trade customers on credit.
ERP stands for enterprise resource planning, and the name puts many owners off: it sounds like a year-long project with consultants. It does not have to be. This page explains what an ERP does for a business with a handful of staff, the signs you need one, how to choose, how the parts connect in managemate, what setup and pricing look like, and what it leaves out.
What good ERP for small business should do
Use this list to judge any option you try, including ours.
One record from order to payment
A sale or purchase should move from draft to delivery, invoice and payment on the same record, so nothing is typed twice and every step is visible.
Every module sharing the same stock
The counter, sales orders, purchasing and production should draw on one stock figure per location and batch, not keep copies of their own.
Access that matches each job
Counter staff, a storekeeper, a production supervisor and an outside accountant need different screens. Roles should limit what each person sees and changes, checked on the server.
Runs on the devices you already have
A cloud ERP should work in the browser on a counter PC, a laptop, a tablet and a phone, with no server to buy and nothing to install.
Pricing you can work out in advance
A price per user with every module included is easier to plan for than separate modules, add-ons and setup fees.
A setup you can do yourself
Guided onboarding and Excel import should let the owner set up the system in their own time, starting from the lists they already keep.
What an ERP is, in plain words
An ERP replaces the separate records a growing business keeps: the purchase file, the stock register, the bill book, the udhaar book for credit customers, the production diary and the spreadsheet the owner checks at night. Each holds part of the picture, and the owner spends hours joining them up. An ERP keeps one record for each piece of work and lets every part of the business read from it.
For a small business, the useful parts are usually purchasing, inventory, sales and billing, payments, simple production and a dashboard. ERPs built for large companies add payroll, accounting ledgers, project costing and more, and often need consultants to set up. A small business ERP should cover the daily work well and leave the rest to specialist tools or your accountant.
An ERP is not the same as accounting software. Accounting software keeps the books: ledgers, journals, the balance sheet and returns. managemate is an ERP for operations. It records invoices, supplier bills, payments, expenses and the GST collected and paid, but it does not keep a chart of accounts or file returns, so your accountant still does the books from its reports and documents.
Signs a small business needs an ERP
You do not need an ERP to sell from one counter with one person and a few dozen products; a bill book and a notebook can do that. The case for one grows with the number of people, places and steps between buying and getting paid. It is rarely one big problem; it is many small ones, each costing time, a little stock and the odd lost sale. These are the usual signs:
- More than one person bills, receives goods or handles stock, and the records disagree.
- Stock sits in a godown and one or more shops, and checking it takes a phone call.
- You make what you sell, and nobody knows the real cost per kg or per piece.
- Trade customers buy on credit, and overdue amounts are worked out at month end.
- Batches expire on the shelf before anyone notices.
- The owner is the only person who knows what to reorder, chase or pay today.
How the parts connect in managemate
Take a namkeen maker in Indore with a factory store, a retail counter and forty kirana customers. A purchase order for besan and groundnut oil goes to the supplier and is received at the factory store with lot numbers, expiry dates and the freight spread into the cost. A production run scales the formula to 200 kg, shows any shortfall, which becomes draft purchase orders in one step, and on completion records the materials actually used and the finished batch with its own lot, expiry and real cost per kg.
Part of the batch moves to the shop by transfer and sells at the counter by barcode scan, with a UPI QR for payment. The rest goes out on sales orders to the kirana stores, in part deliveries with delivery challans, and is invoiced with GST on 15-day terms. Payments are recorded against each invoice, overdue ones rise to the top of Today's plan, and the dashboard shows sales, money to collect and pay, and products to restock.
None of these steps is typed twice. The receipt raises stock, the run uses materials and adds the finished batch, the sale and the delivery reduce it, and every movement sits in the stock ledger with the person who made it. Reports for the period then show net sales, gross margin, GST collected and paid, and expenses, for one location or all of them.
Cloud ERP for SMEs: what cloud means in practice
A cloud ERP runs on the provider's servers and you open it in a web browser. For an SME, that means no server in the back office and no installation on each computer, and the owner can look at the business from a phone while away. managemate works this way: sign in at the same address from a counter PC, a laptop, a tablet or a phone, and each device remembers the location it works in.
Each workspace's data is kept separate, every request is checked on the server against the person's workspace and role, and passwords are stored hashed, never as plain text. When a free trial ends or a renewal payment is not made, nothing is deleted; the workspace is paused, and administrators can still sign in and purchase a plan to continue where they left off.
The trade-off is the internet. managemate has no offline mode and no app-store app, so every device needs a working connection to record a sale. A cart in progress is kept on the counter device, so a short drop does not lose the bill, and retrying a checkout never records the sale twice. For a shop with unreliable broadband, a mobile hotspot as a backup is worth having.
How to choose small business ERP software
Start from your own work, not from a feature list. Write down what happens from the day you order from a supplier to the day a customer pays, and check that each step has a place in the software. Then ask these questions of any system you try. On the last one, for managemate: you can print, download or share a PDF of any document, but lists do not export to Excel.
- Does it handle how you actually stock goods: batches and expiry, pack sizes, variants, more than one location?
- If you make products, does it record what was really used and what each batch cost?
- Can counter staff bill without seeing purchases, margins or money?
- What does it cost for your number of users, and is any module extra?
- Can you set it up from your Excel files and try it with real data before you pay?
- What does it not do, and who will do that instead: GST filing, accounting, payroll?
- Can you get your data out in the form you need?
Setup, cost and what managemate leaves out
Setup starts with a short onboarding: business name and type, GST registration, how invoices look and are numbered, how customers pay, currency and time zone, and who else works with you. Then import customers and suppliers, locations, products and opening stock from Excel or CSV, in that order, and invite your team with a role each, such as Cashier, Sales, Purchasing, Inventory Manager, Production or Accountant. A checklist on the dashboard ticks itself off as the workspace fills in.
Pricing is per user: ₹299 a month or ₹2,870 a year, about 20% less, with every module in every plan. A maker with an owner, a production supervisor, a storekeeper and two salespeople pays for five users: ₹1,495 a month or ₹14,350 a year. Prices are inclusive of all applicable taxes. The 60-day free trial covers up to 5 users with no card, once per customer, and the first payment has a 7-day money-back guarantee.
What it leaves out: accounting ledgers and the balance sheet, GST return filing, e-invoices and e-way bills, payroll and attendance, integrations with other software or marketplaces, a public API, multi-company consolidation and offline use. Manufacturing is single-step, without machine scheduling or routing. Each workspace prints one GSTIN, so a business registered in several states would need a workspace for each registration.

ERP for small business: common questions
What is the best ERP software for a small business in India?
The best ERP is the one that matches how your business buys, stocks, makes and sells, at a sensible price for your number of users. managemate suits small businesses that trade or make physical goods and need batches, several locations, a counter and GST invoices in one place. It is not built for service-only firms, or for businesses that want full accounting in the same system.
How much does ERP software cost for a small business?
With managemate, ₹299 per user per month or ₹2,870 per user per year, inclusive of all applicable taxes, with every feature included. A three-person business pays ₹897 a month. Seats can change at any time: added seats are charged for the days left in the period, and removed seats are refunded for the days left.
Do I still need accounting software or an accountant?
Yes, for the books and for filing. managemate records invoices, supplier bills, payments, refunds and expenses, and its reports show sales, margins and GST collected and paid. It does not keep ledgers, a trial balance or a balance sheet, and it does not file GST returns, so your accountant works from its reports and PDF documents.
Can a small manufacturer use managemate as an ERP?
Yes, for single-step making such as mixing, blending, cooking, filling or assembling. Formulas list up to 100 ingredients, runs check stock and draft purchase orders for shortages, and completing a run records actual usage, the finished batch with its expiry, the yield and the cost per unit. Multi-level products are made as separate runs, and there is no machine scheduling.
How long does it take to set up?
Most of the work is the onboarding questions and importing your lists, so the time depends on how tidy your Excel files are. Each import takes up to 5,000 rows per file and checks every row before saving, and rows with problems can be downloaded, fixed and uploaded again. You can start with products and opening stock, make the first sale and add the rest as you go.
Can my team work at the same time from different places?
Yes. Each person signs in with their own account from any browser, and each device remembers the location it works in, so the shop counter, the godown and the owner at home all see the same live stock. Roles decide what each person can see and change, and a seat is counted only once a person accepts their invitation.
Is a cloud ERP safe for my business data?
managemate keeps each workspace's data separate and checks every request on the server against the signed-in person's workspace and role, so a hidden menu is never the only protection. Passwords are stored hashed. If a trial ends or a payment fails, the workspace is paused and nothing is deleted.
Can I try it before I purchase?
Yes. Your first workspace gets a 60-day free trial for up to 5 users, with every feature and no card required, once per customer. If you purchase a plan and it is not right for you, cancel within 7 days of your first payment for a full refund; this guarantee is also available once per customer.
